Business Situations and Solutions
International Paper Company
Situation: At one of the facilities for an international paper company, the paper making machines were not getting repaired in a timely manner. This was caused by paperwork that was improperly coded, hard to decipher, or lost. Monies were being lost due to machine down time.
Solution: An electronic database was designed to assign responsibility for and tracking of problems with machines. The application uses a form that is completed and electronically routed using e-mail. The routing of the problem (called a root cause failure analysis) goes first to the Plant Manager, then to an area manager, and then to a facilitator. With electronic routing, the process moves along faster than in the past. The Plant Manager said that the individuals in the plant are also now able to complete the forms more easily - resulting in fewer errors and less machine down time. | Auto Parts Manufacturing Facility
Situation: At an auto parts manufacturing facility, the paper flow for a request process (request for outsourcing) was slowing down production. The approval process included individuals in production, accounting, quality control, purchasing, and management. At times, the paperwork was sitting on an individual’s desk for extended periods of time.
Solution: The paper process was replaced with an electronic solution. Now there are fewer trips done by employees to take the paper to the appropriate person who was next in the routing process. Being a good size plant, this entailed walks of over several hundred yards at times. With automated reminder e-mails to the person “sitting” on the document, the process moves faster. Also, the requester can check on who has the document and can prompt them as well. |
Regional Health Care Organization
Situation: The staff at a regional health care organization was finding that their Notes infrastructure was bogged down and poorly organized
Solution: In one day of work, one of our Notes administrators stopped mail from going to dead mail, set up a solution for lost user i.d.'s, and got replication working properly to resolve the key issues. | Regional Bank
Situation: The internal staff at a regional bank was experiencing problems with their Notes/Domino environment. These included unnecessarily large mail files, too much Spam, inappropriate attachments being delivered, and lack of redundancy
Solution: In two days, our Notes administrator put in mail archives, adjusted the Spam filtering software, set up rules for mail delivery, and set up clustering. |
Auto Parts Manufacturing Plant
Situation: The internal staff at a automobile parts manufacturing plant did not have the necessary experience to migrate their Notes environment to the new software version. Being that e-mail is critical to their business operations, they did not want to experience any down time
Solution: One of Arden’s Notes administrators helped this client successfully migrate the infrastructure to a new server on the weekend with few interruptions to employees. | Laminate Manufacturer
Situation:: Approval for capital requests at an international laminate manufacturing company was delayed in some instances. This slowed down production.
Solution: One of Arden’s Notes programmers helped this client successfully develop an application that allowed all the necessary work flow to be tracked and routed to the appropriate approvers. For larger capital expenditures, this required five levels of approval. Now, regardless of where the key approvers are in the world (some travel extensively), they can make approvals in a more timely manner (instead of waiting to get back to the United States / the hard copy form) to process the request. |
